SETTING UP

Create the Cost Control Folder

Create a Cost Control or Finance folder and set in place inside the Programme Office folder.

Determine and define existing processes.

This will involve consultation with:

- the Finance Group to determine cost codes for used to cover Programme and projects within the remit of the Programme Office. These codes will be either directly utilised in the naming convention of programmes and projects or will appear in the Team register against each programme and project registered.

- existing Programme & Project Teams to determine methods currently employed to fulfil the Finance teams requirements.

Aim and anticipated difficulties.

The aim is to establish a streamlined approach to recording actuals, forecasts and acruals at the project level so that role up to Programme Level and higher does not become an excessive administrative burden on the Programme Office.

Not always possible to the extent preferred due to the Financial Groups always perferring to identify work within Cost Centres which usually align to Client Budget Holders and not Programme or Project budget holders.

Presentation to Project/Area Management teams

If a streamlined method is determined and agreed wit Finance the purpose of this presentation to Programme and Project Managers is to obtain 'buy-in' of the teams.

Introduce the Abbermist Document Library.

This will be done during one-to-one and team discussions/presentations. This library is at the outset the source for all standards and procedures etc provided by Abbermist and ultimately will be the location of all approved and authorised products created by the Prgramme Office, Programmes and Projects will be held and maintained under version control.

Introduce Cost Control Spreadsheets and Framework.

Present to groups and individuals the Cost Control Framework and provide one-to-one training for those personnel charged with the responsibility of maintaining the Cost Control Spreadsheets for their Programme, Project or Area.

Tailor Abbermist Tools and Processes to the organisation.

This may be limited only to the incorporation of the clients logo into the supporting documentation but it may also be required that additional tools and procedures are developed to accommodate the clients unique requirements.
