ORGANISATION SETTING UP Determine and define existing processes. This will involve consultation with: - Programme & Project Management Groups to also identify where live files currently reside and lay the groundwork for moving into a new Directory. - Client Groups to obtain buy-in and confirm their reporting requirements and specific areas of interest. - Finance Group to determine cost codes for areas within the remit of the PO. These codes will be either directly utilised in the naming convention of projects and areas or will appear in the Project and Area register against each project or area registered. - IT Support Group to set up a Programmes directory with a PO Super User Group (SUG) for access control and have the Abbermist tools and procedures virus checked prior to installation. Define the Parent Organisation. Knowing the structure of the parent organisation is crucial in determining the naming conventions of Programme and Project plans etc. Define the Programme Office Organisation The structure of the Programme Office must be agreed with the client as early as possible so that responsibilities can be determined and job descriptions created prior to engaging PO Staff. Create the Programmes Directory In conjunction with IT Support group, build the Programme(s) Directory and folder structure to align with parent organisation, separate from all other existing directories, on a server accessible by all parties within the organisation. Ensure the agreed structure has been described and reflected within the Team Register. (Abbermist can advise on the requirements of accommodating users in geographically dispersed locations.) When established install the 000 ProgPlan and 001 ProgOffice folders and their contents. Presentation to Project/Area Management teams The purpose being to obtain 'buy-in' of the teams to ensure compliance with required processes and standards to be implemented. These presentations would be limited to two hours duration. Introduce the Abbermist Document Library. This will be done during one-to-one and team discussions/presentations. This library is at the outset the source for all standards and procedures etc provided by Abbermist and ultimately will be the location of all approved and authorised products created by the Programme Office and the Programmes will be held and maintained under version control. It will form the corner stone of the Version Control Framework. Tailor Abbermist Tools and Processes to the organisation. This may be limited only to the incorporation of the clients logo into the supporting documentation but additional requirement for adjustments may be identified during the consultation process. The products provided to establish a new directory can be seen in the MP500 Organisation Package. Select it's "Compare Versions" (Amber) button. Establishing this and all other framework packages together can be achieved by implementing the MP000 Programme Office Package. |
