COMMUNICATION

SETTING UP

Determine and define existing processes.

This will involve consultation with all stakeholders including but not limited to Clients, Suppliers and Programme and Project Managers.

Determine the current status of the following:
Reporting Routes – or ‘who reports to whom’
Reporting Cycles – frequency of report production and cut off.
Meetings Schedules - Frequency, purpose and attendees
Correspondence Files – formal and informal e.g. between Client and Supplier peers.
Quality Management Systems in place.

Programme Office Communication Plan

Produce, publish and implement a Communication Plan combining and describing the above.

Programme and Project communication plans

To be drawn up by their respective managers either as part of a Project Initiation Document or as an independant document it should follow the same format as that drawn up by the Programme Office.

Introduce the Communication Plan, Correspondence Register & Document Library.

The purpose being to obtain 'buy-in' of the teams to ensure compliance with required processes and standards to be implemented.

This will be done during one-to-one and team discussions/presentations during which the requirement for communications processes and tools are to be explained and discussed.

The Document Library is at the outset the source for all standards and procedures which includes Communication processes and tools.

The format, location and control of the Correspondence Register(s) is the responsibility of the Programme Office. The responsibility for the recording of correspondence promptly and accurately lies with each individual manager.

Tailor Abbermist Tools and Processes to the organisation.

This may be limited only to the incorporation of the clients logo into the supporting documentation but it may also be required that additional tools and procedures are developed to accommodate any unique requirements.
